Position Overview

R.J. General Builders, Inc. is seeking a dependable Construction Bookkeeper & Office Coordinator to help keep project finances, records, and administrative workflows running smoothly.

The position combines construction bookkeeping with coordination of project information and office processes. The right person will be comfortable managing financial details in QuickBooks Online, organizing documentation, and following up on outstanding items without needing constant supervision.

This is a remote contractor position that requires availability to overlap with California business hours.

Responsibilities

Financial Records and Project Cost Tracking

Maintain bookkeeping records in QuickBooks Online and reconcile accounts.
Track expenses by project and assist with job costing and cost reviews.
Prepare customer invoices and progress billings and monitor outstanding receivables.
Enter and organize vendor bills, monitor payables, and maintain payment records.
Assist with cash flow tracking and routine financial reporting.

Project and Office Coordination

Keep project documentation organized in Google Shared Drive, including contracts, invoices, and supporting records.
Collect, organize, and track subcontractor compliance documents, including insurance certificates and licenses.
Follow up on missing paperwork, pending invoices, and other outstanding administrative items.
Support scheduling, calendar coordination, and routine project-related communications.
Maintain written procedures and help make recurring office workflows more consistent.
Assist with occasional basic marketing and administrative tasks when needed.

Required Experience and Skills

Previous experience in construction bookkeeping, construction office coordination, or project accounting.
Practical knowledge of QuickBooks Online, including reconciliations, job costing, accounts payable, and accounts receivable.
Understanding of construction project expenses, invoicing, and financial records.
Experience managing digital files and spreadsheets using Google Drive or similar tools.
Strong organizational skills and the ability to track multiple tasks and deadlines.
Clear communication, attention to detail, and the ability to work independently.
Availability to work with some overlap with California business hours.

Preferred

Experience supporting a general contractor or a business with multiple construction trades.
Familiarity with contracts, change orders, progress billing, or estimating-related documentation.

Compensation and Schedule

$12-$18 USD per hour, based on experience.
Approximately 15 hours per week to start, with the potential for more hours.

R.J. General Builders, Inc. is a California-licensed general contractor specializing in residential remodeling. Our projects range from smaller renovations to large, complex remodels involving multiple trades. We're a small team that values clear communication, keeping our commitments, and doing right by our clients.

We're looking for someone who can keep our books, project information, and day-to-day administrative work organized. You'll work closely with the person who currently manages many of these responsibilities, and with the company owner. You'll have time to learn how the business operates, then take ownership of recurring tasks and suggest better ways to manage them.

This is a remote role. You'll meet regularly with the California team by video, communicate primarily by email, and coordinate working hours that allow for overlap. The exact schedule has not been set.

Key responsibilities

Maintain accurate records in QuickBooks Online, including expense categorization and bank and credit card reconciliations.
Track labor, material, and subcontractor costs by project to support job costing.
Create client invoices and progress billings; monitor receivables and follow up on outstanding invoices.
Organize vendor invoices and help coordinate accounts payable.
Keep cash flow information current and prepare regular financial reports for the owner.
Organize contracts, change orders, proposals, receipts, and project files in Google Shared Drive.
Track subcontractor licenses, insurance documents, renewals, and other compliance records.
Support scheduling, calendars, and day-to-day administrative needs.
Help develop practical workflows and documentation, with occasional support for basic marketing tasks.

Required Qualifications

At least three years of construction office management and bookkeeping experience, including hands-on work with construction or project-based accounting.
Proficiency with QuickBooks Online and experience with job costing, accounts receivable, and accounts payable.
Experience organizing files in Google Shared Drive and working with spreadsheets.
Strong organization, careful follow-through, and clear, timely communication.
Ability to manage priorities independently while working remotely with a team in California.

Preferred Qualifications

Experience supporting a general contractor on projects involving multiple trades.
